The Challenges:

Before finding an effective inventory management solution, Tate and the team found themselves in a vicious circle of duplicating, exporting, and updating documents every single time they needed them… This, as you can imagine, was inefficient, time-consuming, and required a lot of management.

So, Tate was trialling different barcode tracking solutions to find the best one. Some were too complicated, hard to use and didn’t complete tasks as well as he needed… but then he discovered Orca Scan 👏

A little bit of context: Meet Tate 👋

Meet Tate, IT and Facilities Manager at Intertrend Communications, who is in charge of tracking assets across all offices and warehouses, with over 80 employees who require equipment suited to their role.

After trialling a few other systems, he came across Orca Scan and hasn’t looked back 😉 Our Inventory Tracking Solution was essential to providing complete visibility and end-to-end tracking to show which assets belong to whom, the condition of each item as well as pin-pointing its’ location (to name a few!).

The team tracks digital items like laptops and phones, as well as facilities and warehouses, so staff can scan a barcode in a warehouse or unit within a warehouse and be directed to the correct sheet that highlights its contents.

How Orca Scan provides a solution: saving time with Zapier Integration

Orca Scan serves as an inventory log for Intertrend’s office equipment across multiple offices and locations in the US, so it was crucial to implement an efficient tracking system to monitor all equipment and who it is assigned to.

One way they utilise this is during maintenance. When an item is damaged, the team are able to scan it, upload photos of any issues and log any fixes that need to be made. This has become super handy once an item is returned after use, such as when an employee leaves the company - as with one scan, they can check any previous damage or maintenance work undertaken, ensuring they know what repairs or cleaning is needed for the next recruit 🙏

Another one of Tates’ favourite ways to use Orca Scan is when receiving packages at the office. He has created a workflow for the team that helps quickly and easily identify packages and get them in the hands of the right person.

As they receive a parcel and scan the barcode, an Orca form opens where Tate can fill out information about who the parcel is for and where it needs to go. From here, the team can upload an image of the parcel to demonstrate its condition and check the quantities to make sure everything is accounted for. Finally, they can select the email address of the receiver and notify them via Slack, using a Zapier integration, to say their parcel is ready to be collected… 👏👏

Has the solution been successful?

With several assets and a lot of information circling the offices, Tate needed to keep track of this information to avoid any misplaced, damaged or lost equipment. Thanks to our Inventory Tracking Solution, Tate has saved hours by automating workflows and allowing our integrations to do the hard work for him 🤝
