How to track inventory using barcodes
Two important points to consider when implementing an inventory management system;
- Most products today already have a barcode, and
- Your entire workforce is already carrying mobile computers (a smartphone).

To get started:
- Download the Orca Scan barcode app
- Create a new sheet using the Inventory Tracking Template
- Scan a barcode on a product
- Enter the quantity (optional location)
- Save the changes
You can now share your sheet with teammates, allowing them to search your inventory or scan items into and out of stock from any device. In addition, the barcode history log lets you see how your inventory changes over time by tracking updates from all users.
Why is inventory tracking important?
Inventory tracking helps companies understand what products they have in stock and in which location. Inventory typically has an impact on a company’s books; carrying too much stock can be a risk. Likewise, discovering you do not have an item in stock when you need it could cost you business.
What if an inventory item does not have a barcode?
For inventory items that do not have a barcode, you can generate and print barcode labels from the Orca Scan web and mobile applications.

Add Total Price
Manage the total price of the items you scan with formulas. We have added a “Price” column and “Total Price” column to our Inventory Tracking Solution sheet, which will automatically use a formula (Quantity * Price) to calculate the total price __ of the assets captured in your sheet.
Add Triggers
Keep a closer eye on your stock levels by adding a trigger to notify you (or the sheet admin) of low stock levels. Simply add a “_Min Stock Level_” column, set the data type to “_Number_” and “_Hidden in mobile_”.
Then, create the “Low on stock trigger“ as shown below 👇
When the quantity falls below a specific number, the end user will receive an in-app notification warning that the item is “Low on stock”.
